GENERAL INFORMATION

How do I get to the Rotterdam Ahoy Convention Centre (RACC)
Venue address: Rotterdam Ahoy Convention Centre (RACC), Ahoyweg 10, 3084BA Rotterdam

Directions
Rotterdam Ahoy is ideally located near the highway, at the Zuidplein metro and bus stop which is just a 5 minute walk from RACC.

By train
Please note, a discount is offered on train tickets booked via the Ahoy website - above

The closest railway station is Rotterdam Central Station which is then a 15 min metro ride to Zuidplein station

By plane
RACC is a short distance from Rotterdam The Hague Airport. You can take a cab from the airport or catch a bus to the Subway station Meijersplein and take the underground to Subway station Zuidplein which is a short walk to the RACC.

Is there parking available?
Yes. There are 2,500 parking spots at the RACC and the cost is €19.50 a day. RACC will be hosting other events alongside Food Matters Live Rotterdam, and we recommend that you pre-book your parking in advance. The closest car park to the RACC is P1 & P2. Guests who have pre-booked parking will need to show their ticket when they arrive at the car park barrier.

Tickets are valid from 05:00 to 05:00 the following day.

Disabled parking spaces are available for guests with blue disabled parking permits.

If the parking lot is full and you did not book a parking space, it is also possible to park at Q-Park Zuidplein or another parking lot close by.

Do you recommend specific hotels nearby?
We are pleased to be working with Preferred Hotels to offer all our hotel recommendations for Food Matters Live in Rotterdam.

Do I have to register for Food Matters Live Rotterdam?
No. You will be automatically registered to attend.

What does your speaker pass include:

  • Access to both days of Food Matters Live Rotterdam
  • Access to all main stage content at Food Matters Live Rotterdam
  • Access to roundtable sessions
  • If relevant, access to Tastes of Better on an invite only basis
  • Lunch and refreshments throughout the event

Is there catering available on-site?
Yes, all attendees will be provided with refreshments and lunch. Please contact us in advance if you have any dietary requirements.

Is there a cloakroom?
Yes, cloakroom facilities will be available. Our registration team will direct you to the nearest cloakroom upon arrival.

Is there a dress code for speakers?
The recommended dress code is smart casual.

 

PREPARING TO DELIVER YOUR SESSION

Do I have to prepare a PowerPoint presentation?
No, using slides is optional. However, if you choose to have a presentation, please ensure:

  • The slide size is 16:9 screen format
  • The file format should be PPT
  • If you have speaker notes, we recommend printing them before the event

Is there are deadline to submit my PowerPoint presentation?
Yes, if you plan to use slides, we require a copy of your presentation to be sent to sofia.rodrigues@foodmatterslive.com by Friday 12th September. This allows us to upload the presentation onto the show laptop and ensure it is working correctly in advance. If your file is too large to send via email, please use a file transfer service such as https://wetransfer.com/.

Can I include video(s) in my presentation?
Yes, you can embed videos in your presentation. However, we recommend not using online video links (e.g.YouTube), as internet access may not be available on the presentation laptops.

What happens if my presentation runs over time?
The chair of your session will ensure presentations are kept to time. Please time your presentation in advance to ensure it fits in the allocated time.

What happens if I have accessibility requirements?
If you have any accessibility requirements, please let us know as soon as possible by emailing sofia.rodrigues@foodmatterslive.com.

What AV facilities are available in the session room?
Each session room will be equipped with:

  • Lectern with microphone and PC laptop for self-operation
  • Headsets and hand held microphones for speakers and for Q&A
  • Comfort monitor
  • Projector screen

*Food Matters Live will provide staff to support with audience Q&A

Will there be technical support if needed?
Yes, each session room will have a dedicated AV technician who will be on hand to support you.

Which room will I be speaking at?
Food Matters Live Rotterdam will be held at RACC. Registration will be in the foyer area on Level 3. Below is a list of the session rooms:

  • Insights and Trends is in Rotterdam D on Level 3
  • The Future of Positive Nutrition is in Rotterdam C on Level 3

What will happen to my presentation after the event?
With your permission, we would like to make all presentations available on our website after the event. Please let us know if you do not wish to publish your presentation or would like to provide a redacted version.

Is my session being recorded?
We will audio record sessions for potential use as podcast content.

 

ON THE DAY

When should I arrive?
You are welcome to arrive at Food Matters Live Rotterdam at any time. However, please make your way to your session room at least 30 minutes before your scheduled session.

Do I need to inform staff that I have arrived?
Yes, please go to the registration desk in the foyer area on Level 3.

Is there a green room or speaker lounge available?
No, there will not be a designated green room or speaker lounge available. If you need a quiet space before your session, please speak with a member of staff for assistance.

What should I do if I experience a last-minute delay or cancellation?
If you are delayed or need to cancel your attendance, please notify us as soon as possible by emailing sofia.rodrigues@foodmatterslive.com.
